NeuronHire LLC (“NeuronHire”, “we”, “us”, or “our”) is committed to protecting your personal data. This policy explains what information we collect, why we collect it, how we use and protect it, and your rights as a data subject.

This policy applies to all users of www.neuronhire.com and NeuronHire’s services, including US-based companies (“Clients”) and Latin American software engineers (“Engineers”) who interact with our platform.

1. Who We Are

NeuronHire LLC is a talent-matching platform incorporated in the United States that connects US-based companies with pre-vetted senior software engineers from Latin America. We operate the website at www.neuronhire.com.

Under applicable data protection laws (including the EU General Data Protection Regulation, Brazil’s Lei Geral de Proteção de Dados, and the California Consumer Privacy Act), NeuronHire LLC acts as the data controller of the personal information described in this policy.

2. Data We Collect

The information we collect depends on whether you are a Client (company) or an Engineer (job seeker), and whether you actively provided it or we gathered it automatically while you used the site.

From Clients (Companies)

  • Contact information: Full name, work email address, phone number, and company name, submitted via our contact or hiring request forms.
  • Company information: Company size, industry, location, and technical stack, all provided to help us match the right engineers to your needs.
  • Hiring requirements: Job descriptions, role requirements, required technologies, seniority levels, and budget expectations.
  • Communications: Emails, messages, and call notes exchanged with our team throughout the hiring process.

From Engineers (Job Seekers)

  • Identity information: Full name, email address, phone number, and country of residence.
  • Professional profile: Resume or CV, work history, educational background, certifications, and portfolio or project links (e.g. GitHub, LinkedIn).
  • Skills and experience: Technical skills, programming languages, frameworks, years of experience, and English proficiency level.
  • Salary expectations: Compensation expectations and current earnings, shared voluntarily during the application process.
  • Vetting and assessment results: Results from NeuronHire’s vetting process, including soft-skills evaluation and technical interview outcomes. NeuronHire admits approximately 1% of applicants into its active network.
  • Communications: Messages and call notes exchanged with our team during the application and matching process.

Automatically Collected Data

Visiting our website generates some technical data automatically. This includes:

  • Device and browser information: Browser type and version, operating system, screen resolution, and device type (desktop, mobile, tablet).
  • Network information: IP address and approximate geolocation derived from it (country and city level). We do not collect precise GPS coordinates.
  • Usage and navigation data: Pages visited, time spent on each page, referring URLs, links clicked, and navigation paths through the site.
  • Access logs: Timestamps of visits, HTTP request data, and server response codes. Access logs are retained for a minimum of 6 months to comply with legal obligations, including Brazilian Law No. 12,965/2014 (Marco Civil da Internet).

What We Don’t Collect

NeuronHire does not knowingly collect sensitive personal data such as racial or ethnic origin, political opinions, religious beliefs, health information, biometric data, or sexual orientation. We also do not conduct criminal background checks unless a specific engagement with a Client requires it and the Engineer has given explicit prior consent.

3. How We Use Your Data

Personal data is used only for the specific purposes described below. We do not sell personal data to third parties under any circumstances.

Service delivery

Matching Companies with Engineers, managing the hiring and vetting process, facilitating interviews, and onboarding placements.

CRM and relationship management

Storing and managing contact records, tracking the status of hiring requests, and maintaining communication history using HubSpot.

Job matching and talent operations

Managing open job requirements and engineer profiles using Notion to coordinate internal matching workflows.

Marketing communications

Sending newsletters, product updates, and relevant content to users who have opted in. You may unsubscribe at any time via the link in any email or by contacting us.

Website analytics

Understanding how the platform is used in aggregate (which pages are visited, how users navigate, and where we can improve) using Google Analytics with IP anonymization enabled.

Platform improvement

Using anonymized and aggregated usage data to improve the features, content, and performance of our website and matching process.

Legal compliance and enforcement

Fulfilling obligations under applicable law, resolving disputes, enforcing our Terms of Service, and responding to legitimate legal requests.

Fraud prevention and security

Detecting and preventing fraudulent use of our platform, unauthorized access, and abuse.

5. Third-Party Sharing & Sub-Processors

Personal data is shared only with the third parties listed below, and only to the extent necessary to operate our service. All sub-processors are bound by data processing agreements that require them to protect your data in accordance with applicable law. We do not sell, rent, or trade personal data.

Other Disclosure Scenarios

  • Legal requirements: We may disclose data to law enforcement, regulatory bodies, or courts when required by applicable law or a valid legal order.
  • Business transfers: If NeuronHire is acquired, merged, or undergoes a change of control, your data may be transferred to the acquiring entity. We will notify users via email or a prominent notice before any such transfer.
  • With your explicit consent: For any sharing not described above, we will ask for your explicit consent before disclosing your data.

6. Data Retention

Personal data is kept only as long as necessary for the purpose it was collected, or as required by law. The periods below apply unless you exercise your right to deletion (see Section 7).

When retention periods expire, data is securely deleted, anonymized, or, where legal obligations require it, blocked from further use.

7. Your Rights

Depending on where you are located, you have the following rights regarding your personal data. To exercise any of them, email contact@neuronhire.com. with your full name, the right you wish to exercise, and enough information for us to verify your identity. We will respond within 30 calendar days.

All Users

  • Right of access: Request a copy of the personal data we hold about you and information about how we process it.
  • Right to rectification: Request correction of inaccurate, incomplete, or outdated data.
  • Right to deletion: Request deletion of your personal data. We will comply unless a legal obligation requires us to retain it.
  • Right to opt out of marketing: Unsubscribe from marketing communications at any time via the unsubscribe link in any email, or by emailing us.

EEA / UK Residents

  • Right to data portability: Receive your data in a structured, machine-readable format (e.g. JSON or CSV) for transfer to another service.
  • Right to restriction of processing: Request that we limit how we use your data while a dispute about its accuracy or our processing is resolved.
  • Right to object: Object to processing based on legitimate interests or direct marketing at any time.
  • Right to withdraw consent: Where processing is based on consent, withdraw it at any time without affecting the lawfulness of prior processing.
  • Right to lodge a complaint: File a complaint with the data protection authority in your EU member state or the UK ICO.

Brazilian Residents

  • Confirmation of processing: Obtain confirmation that we process your data and receive information about the nature, purpose, duration, and legal basis of that processing.
  • Portability: Request data portability in accordance with ANPD regulations, subject to the protection of trade secrets.
  • Anonymization or blocking: Request anonymization, blocking, or deletion of unnecessary or excessive data, or data processed in non-compliance with the LGPD.
  • Information on third-party sharing: Receive information about which public and private entities we have shared your data with.
  • Revocation of consent: Revoke consent at any time, with information about the consequences of revocation.
  • Opposition to processing: Object to processing carried out on grounds other than consent, where non-compliance with the LGPD is alleged.
  • Lodge a complaint with the ANPD: File a complaint with the Brazilian National Data Protection Authority (the ANPD, Autoridade Nacional de Proteção de Dados) at gov.br/anpd.

California Residents

  • Right to know: Request disclosure of the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the third parties with whom we have shared it.
  • Right to delete: Request deletion of personal information we have collected, subject to exceptions under the CCPA.
  • Right to opt out of sale / sharing: NeuronHire does not sell or share personal information for cross-context behavioral advertising. You have this right, but there is nothing to opt out of.
  • Right to non-discrimination: We will not discriminate against you for exercising any of your CCPA rights.
  • Right to correct: Request correction of inaccurate personal information we maintain about you.

Nevada residents may also opt out of the sale of personal information (NRS § 603A). NeuronHire does not sell personal information as defined by Nevada law.

How to Submit a Request

Send an email to contact@neuronhire.com. with your full name and the email address associated with your data, identify the specific right you are exercising, and include any details that help us locate your records. We may ask for additional verification before processing the request. Expect an acknowledgement within 5 business days and a full response within 30 calendar days. If we cannot comply, we will explain why in writing.

8. Cookies & Tracking Technologies

Our website uses cookies and similar technologies. Here is a breakdown of the categories we use, what each one does, and whether your consent is required.

You can control or disable cookies at any time through your browser settings. Disabling non-essential cookies will not affect your ability to use our core platform features. Instructions for managing cookies in common browsers: Chrome, Firefox, Safari.

This website does not currently respond to browser “Do Not Track” signals due to the lack of a uniform industry standard for their interpretation. We will revisit this as standards develop.

9. Data Security

Protecting your data is something we take seriously. Our technical and organizational measures include:

  • HTTPS encryption for all data in transit (HSTS enforced)
  • Access controls limiting data access to authorized personnel only
  • Use of sub-processors (HubSpot, Notion, Google) that maintain ISO 27001 or equivalent certifications
  • Regular review of access permissions and third-party data processing agreements

No method of internet transmission or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your data, we cannot guarantee absolute security. In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify you and relevant supervisory authorities within the timeframes required by applicable law (72 hours under GDPR; as required under LGPD).

10. International Data Transfers

NeuronHire is incorporated in the United States and processes data from users primarily in Latin America (including Brazil and Argentina). Our CRM data is stored in HubSpot’s EU data center (eu1 region). Analytics data is processed by Google LLC in the United States.

When personal data is transferred from Brazil or the EEA to the United States or other countries without an adequacy decision, we rely on:

  • Standard Contractual Clauses (SCCs), the EU Commission-approved mechanism for transfers from the EEA.
  • Contractual safeguards: data processing agreements with sub-processors that require equivalent data protection standards, as required under LGPD Art. 33.

11. Children's Privacy

Our platform is intended exclusively for individuals aged 18 and over. We do not knowingly collect or process personal data from individuals under 18. If you believe we have inadvertently collected data from a minor, please contact us immediately at contact@neuronhire.com. and we will delete it without undue delay.

13. Changes to This Policy

This Privacy Policy may be updated from time to time. For material changes, we will update the “Last updated” date and notify users by email at least 14 days before the change takes effect. Continued use of our services after the effective date constitutes acceptance of the updated policy. We recommend reviewing this page periodically.

Personal Data / Dados Pessoais
Information that identifies or could reasonably identify a living individual. Examples include a name, email address, IP address, or device identifier.
Data Controller / Controlador
The entity that decides why and how personal data is processed. NeuronHire LLC is the data controller for all data described in this policy.
Data Processor / Operador
A company or service that processes data on the controller’s behalf. HubSpot, Notion, and Google Analytics each act as processors for NeuronHire.
Processing / Tratamento
Broadly, anything done with personal data. Collecting it, storing it, using it, transmitting it, archiving it, or deleting it all count as processing.
Consent / Consentimento
A freely given, specific, informed, and unambiguous indication that someone agrees to their data being processed for a particular purpose.
GDPR
The General Data Protection Regulation (EU Regulation 2016/679), which governs the processing of personal data belonging to people in the European Economic Area.
LGPD
Brazil’s Lei Geral de Proteção de Dados (Federal Law No. 13,709/2018), the country’s comprehensive data protection framework.
CCPA / CPRA
The California Consumer Privacy Act and its amendment, the California Privacy Rights Act. Together they grant specific privacy rights to California residents.
